OFFICE CANCELLATION POLICY

As we navigate a “post pandemic new normal” I perceive a greater need for clarity and flexibility in my cancellation policy and want to update you about changes to the office late cancellation fees and graduated timing of those fees.

  • The office maintains a 48 hour cancellation policy. See below for graduated late fees.
  • The office offers a 10-minute grace period. Due to the holistic nature of this medicine and the time and details required to arrive at an appropriate diagnosis and treatment, as well as for the respect of other patient’s time, patients arriving more than 10 minutes late cannot be seen and will be charged the full visit rate.

LATE FEES

  • Late fees for cancellations within the 48 hour window will be applied as follows:
    • No charge IF notified 48 hours before the scheduled appt.
    • 25% of the full visit price if notified 47 – 36 hours before the scheduled appt.
    • 50% of the full visit price if notified 36 – 24 hours before the scheduled appt.
    • 75% of the full visit price if notified 24 – 12 hours before the scheduled appt.
    • 100% of the full visit price if notified 12 – 0 hours before the scheduled appt.
  • The applicable late fee will be charged to the card on file at the time of the missed visit.

EMERGENCY EXCEPTIONS TO THE LATE CANCELLATION POLICY

  • Emergencies such as hospitalizations that occur within the 48 hour cancellation window are exempt from late fees.

ILLNESS AND INJURY EXCEPTIONS TO THE LATE CANCELLATION POLICY

  • WITHIN 48 HOURS OF YOUR APPOINTMENT: If you suddenly develop an active cough (frequent, uncontrolled and/or productive), fever or vomiting, test positive for COVID or get in an injury car accident, there is no fee if you provide 24 HOURS NOTICE of cancellation. Otherwise the late cancellation fees for less than 24 hours notice will apply.
  • WITHIN 24 HOURS OF YOUR APPOINTMENT: If you suddenly develop an active cough (frequent, uncontrolled and/or productive), fever or vomiting, test positive for COVID or get in an injury car accident, there is no late fee.

REMINDERS

  • If you are sick with an active cough (frequent, uncontrolled and/or productive), fever or vomiting or test positive for COVID prior to the 48 hour cancellation window please call to reschedule your appointment prior to the 48 hour window.
  • For all other common-cold symptoms or close contact COVID exposures, plan to wear an N95 mask during your appointment. If you don’t have one, one will be provided.
  • For all other illness, injury or malaise, if you prefer not to come to your appointment and feel the need to cancel, the late fee schedule will apply.
  • Please keep in mind that insurance cannot be billed for late cancellations and that the full cancellation fees apply.
